Get 2021 Organised, Starting Now

When it comes to running a business, it pays to be organised. Being organised means you can be more efficient, get more done, and you can grow more effectively too. But when you’re the boss, you have dozens if not hundreds of things on your plate at once, and it can be a real challenge to stay on top of everything. That’s why you’ll often see business owners with a desk covered in paperwork and to-do lists a mile long. But with just a few little tweaks, you could see a dramatic improvement in your business performance. So as our New Year gift for 2021, we want to share 4 of our top tips to get your business organised this year – and keep it that way.

Organise Your Workspace

Seriously. While it might seem like a small thing, your working environment has been proven to have a direct impact on your productivity, your mental health and your creativity. This is because it saves you time, eliminates stress (even subconscious stress), and helps you locate things more easily. In turn, that extra time and mental headspace allows you to be more creative, to meet your deadlines on time, and ultimately help you make more money. Honestly, an organised workspace leads to an organised business!

But if you’ve never organised your workspace before, it can seem daunting, so here are a few things you can do to get started:

  • Throw away any rubbish.
  • Pick up anything that has ended up where it doesn’t belong, and put it back.
  • Go through your paperwork – shred what isn’t relevant or needed anymore.
  • Set yourself up with a document scanning app and get any remaining documents digitised, and then shred the paper copies.
  • Pick up a few storage solutions to make sure your workspace stays free of clutter, but you can access things when you need them.
  • Segment your working zones, so you can organise each one differently depending on how you work (for example, have a computer-based and a non-computer-based space).
  • Declutter your computer desktop and put things into organised folders.

Exactly how you organise your workspace should be unique to how you work best, but the general idea is to end up with a  clear space that’s free of clutter, and where everything has a home.

Use The Right Productivity Tools

Getting yourself set up with the right tools can have a huge impact on how much you get done in a day. Where you can, we recommend automating tasks that can be automated. For example, if you’re struggling to keep up with posting on social media, set yourself up a Hootsuite account, and dedicate 1 hour a week, to scheduling in your content. Now you will have consistent social media activity throughout the week, without you having to think about it. Again, the productivity tools you choose will depend on what your business does and how you work best, but a few of our favourites include:

  • Hootsuite – for social media automation
  • Groove – for customer support and ticket tracking
  • ReciptBank – take photos of your receipts and have them automatically logged into your accounting software
  • Proofhub – for project management
  • Google Calendar – for unified time and diary management

Manage Your Inbox

Communicating with your customers and suppliers is essential, but when your inbox is overflowing with emails, it can be difficult to find what you need. Messages get missed, replies aren’t sent in time, or you lose critical information in the sea of emails. Spending a little bit of time organising your inbox – creating folders for each client and supplier, moving emails when they have been dealt with – can make a huge difference. Reaching inbox 0 often has a huge mental impact on our customers, and means they can stay on top of their communications without ever missing a thing. It also means you can find things quickly and easily when you need to – so no more searching through hundreds of emails to find that one you need! If you’re not sure how to do that, just get in touch and we’ll be happy to help you.

Ask For Help

Above all, a big part of getting yourself organised for the year, and staying that way, it recognising where you might need help, and who you can ask for it. Keeping an entire business running smoothly is challenging at the best of times, but with a pandemic, furlough, home schooling and everything else thrown in, it’s no surprise that business owners everywhere have seen their organisation slip, or disintegrate completely over the last 12 months. But don’t worry, there is help available. Many of the day-to-day organisational tasks within your business could easily be outsourced to a VA, so you don’t have to worry about them anymore. A good VA will be able to set you up with systems to keep things organised, and then make sure they stay that way throughout the weeks and months, leaving you free to focus on running your business. So if you often find yourself drowning in odd tasks with a to-do list a mile long – ask for help from a VA. Trust us, you won’t regret it.
